VegaVend helps you to ensure that you are providing the best and highest quality products to customers. Requesting proof of compliance with regulations and governmental certifications is one of several ways VegaVend works towards helping you to provide safe products. Please review the documents you may need to provide when applying to list your products on VegaVend.

The documents required to list your products may differ based on the product you are listing and the requirements to sell a specific product in a particular country.

Documents that may be accepted include:

  • Certificates
  • Declarations
  • Invoices
  • Post office receipts**(see exceptions clause)
  • Pictures of product packaging

Documents

AECOSAN Notification:

The AECOSAN, a Spanish authority, must be notified about certain products such as food supplements. You can prove the notification to AECOSAN by providing us with a proof of payment of the notification fee issued to the manufacturer or first importer of the product. BVL Declaration Validation document (Germany):

The BVL Declaration Validation document is issued by the Federal Office of Consumer Protection and Food Safety (Das Bundesamt für Verbraucherschutz und Lebensmittelsicherheit – BVL) confirming that they have been notified about the product, e.g. food supplements. We only accept the document as such; no other form of proof for this notification can be used. For details, visit: https://www.bvl.bund.de/DE/Home/homepage_node.html

German Certificate of Free Sale Validation:

This form is issued by the German authorities and confirms that the food supplement labelling and formulation is compliant with relevant legislation. For more information, visit the official German register of experts and search for ‘Nahrungsergänzungsmittel’.

German Lab Certificate

This form, issued by an approved authority within the EU, confirms that the formulation of the food supplement is compliant with relevant legislation in order to be sold in Germany. To find approved Labs, visit the official EU website.

Food Product Declaration:

This form, issued by AECOSAN, grants approval to sell food products, such as infant formula, in Spain.

Invoice:

The invoice is a document that shows the purchase and transfer of units of products from a manufacturer or distributor to a reseller. VegaVend may contact suppliers to confirm the validity of the invoice.

Product Packaging Picture:

VegaVend requires a picture or set of pictures of the product or its packaging to ensure that the product meets labelling requirements for the EU or UK. VegaVend does not accept mock-up label designs or computer-generated images.

Product Registration Validation or Teleicare Registration:

This validation document (a screenshot from the Teleicare website) shows that the Vendor or manufacturer is registered to sell food products, such as vitamins, herbal supplements and probiotics, in France. For details, visit: https://teleicare.dgccrf.finances.gouv.fr/Home/SearchCA

Documents that will not be accepted as invoices:

  • Pro-Forma Invoice – a quote or estimated invoice sent in advance of a shipment, which is not a demand for payment showing items shipped.
  • Sales or Purchase Order – an order for units of product sent by the purchasing company.
  • Receipt or Order Confirmation – confirmation that an order was made, whether in a physical store or via an online retailer.

**Exceptions Clause: VegaVend will accept Post Office receipts which show the postmark that a declaration was received in the mail.
